July 20, 2026
The Meeting was called to order by President Landon Cogburn at 1:06 p.m. in the Exhibition Building.
MEMBERS PRESENT: Aaron Helus, Landon Cogburn, Tom Bledsoe, Fred Kayser, Isaia Aricayos
EX-OFFICIO/STAFF PRESENT: Mikayla Gabel, Cheryl Aragon, Kim Eastwood and Larry Hooker

1) None
Updates provided included:
1) Ear tags at check-in – retag if needed, process in place – will get set up soon and need help from city to move panels
2) Goat check-in going well so far today
3) Classifiers and Brand Inspections will be done outside
4) Three campers left to check-in, process went well, a couple situations came up being resolved now; MOTION to refund vendor fees for Texas Wings BBQ by Aaron, second by Tom due to their serving first responders fighting wildfires in Beula today and working hard to get to our Fair; motion passed.
5) Tomorrow city shutdowns fairground due to vendors checking in and lining up
6) Vet Check went well, 5:30 AM starts again tomorrow morning
7) Pig TV’s need to be hung, replace lobby TV, event center doors can only be front door due to security issues, will keep discussing with City; security firm this year have been excellent and easy to work with
8) The City needs clear direction on set up for Sunday morning
9) 14th Ave recently closed by City; Road Closed signs will need to be put up
10) Need to set up for carriage route after they arrive tomorrow – type 3 barrier will need to set up
11) Things you hear at Fair: “Craig and I decided we’re the security and risk committee, he is security and I’m risk.” Luke
12) Trailer parked by barn, will be moved by around 4 PM today – Cheryl set it up with vendor
13) No electric scooters or Segways allowed by buildings and in barns, okay by campers
14) “A” Lot hard to see lines and RV parking is slightly off the mark

July 21, 2026
Meeting called to order by President Landon Cogburn at 1:05 PM
MEMBERS PRESENT: Aaron Helus, Landon Cogburn, Tom Bledsoe, Fred Kayser, Isaia Aricayos

CURRENT TOPICS:
1) Goat check-in went well, a couple issues were resolved, 151 market goats weighed in
2) iPad and printing went well, looking for ways to be more efficient
3) All superintendents requested to be in attendance during class breakdown
4) Donors confirmed for ultrasound for carcass contest will finalize invoicing
5) Retag for goats – only one had to be done
6) Non-livestock projects check-in went well, Judging completed, 4H building being set up now – a welding project was sent home due to safety concerns, two shooting sports projects sent home as well due to rules for language and items included in display
7) Horse events moved up and will finish early today – BBQ was today as well
8) Security – vet check went well this morning
9) Goat exhibitors would like to use sheep stands for prep; will announce it is available since sheep exhibitors will not need it until after tomorrow
10) TV’s have been set up in hog barn, had wasps in stand that needed to be cleaned up
11) KFKA interview this morning with Mikayla and Landon went well, another interview spot set up for Thursday morning
12) Superintendent informed Landon that a dad was injured last Saturday and on crutches and children will possibly need help with cattle projects, Landon shared rules with them and family needs to speak with board if arrangements are needed.
13) PNC acquired First Bank and is now our bank, Tracey needs to be on documentation with bank for online usage, they have been difficult to deal with, and will need to discuss future banking needs
14) Security – barriers being moved and not put back, will set up more tomorrow
15) 14th Ave closed by Pavilion and not at intersection, need to set up for carriage rides and we have a solution in mind
16) Incident at Horse event with rope burn on hand – Exhibitor is okay, still competing currently
17) Event Center doors will open at 5 AM, City will have someone there
18) Weather may be an issue Wednesday through Friday late afternoons with storms in the forecast

CURRENT TOPICS:
1) Sign-in for volunteer workers will just be on note pad not on forms
2) Moved barriers for traffic control
3) U-turn and barriers set up, carriage uses D Street so will need to make sure they have room
4) Carnival games come in 4 PM to set up band will shift barriers around to allow them access, games start at 6 PM
5) Security helpful with sheep this morning
6) Problems with beef, 4 kids involved, brand inspection not completed – kids cannot go to sale – board needs to be aware of situation
7) Gilbert will be bringing bleachers for rabbits will be set in place this evening
8) Wristbands enforcement discussion – timing of getting packets, when exhibitors are putting them on, a copy of rules have been given to board members
9) Reroute electricity by vendors, a lot of vendors this year, which is a great thing to have
10) Ice cream bars and a lot of prizes available for this evening carnival games
11) Adam Christian helping calves for another family this weekend and got hurt, they don’t have other family members here and need help, question is if we can allow another family to help them fit their animals or who to allow, we will discuss options and let them know
12) Heifer replacement situation with a family, deadline was end of March, told them can show but cannot go to sale – NOTE: Vet need to stay for replacement heifer inspections

1) Pop stand will move outside this afternoon
2) Governor is coming tomorrow around 2:45 PM, will get tour of fair and facilities starting with Bunkhouse and flowers, then move to 4H buildings and projects, and possibly open classes and animals in event center
3) Scale and weigh-in are going well so far
4) Will start to get ready for concert tomorrow, alcohol set up will need security there
5) Ready for hog check-in tomorrow morning, there was a family already setting up in building that should not be in there yet, Landon spoke with Superintendent about when pens are scheduled to be open for everyone
6) Goat show is done and went well, an exhibitor didn’t do record book interviews, but showed and submitted sale card nominations, due to rules the nomination is invalid
7) Carnival games went well, a lot of kids and folks around, busy around vendors as well, we have received positive feedback thus far
8) Beef barn panels need to be moved and security will help
9) Sale committee, Willbanks, parent showmanship, tomorrow night, buckle to winner (mistake buckle), raise funds for family
10) Update for Beef showing and help with family, Sidwell’s 3 steers with cooler that died, they have packets and will help Christian family, Addie and Braiden
11) Wristband for sheep, one family needed to be reminded about rules
12) Security – team doing well, briefing going well and helping where needed

2) Turkey passed away from a heart attack during washing this afternoon, unfortunately,
3) Wristbands went well in the beef barn
4) Check-in traffic went well
5) VIP cones have been set out – carriage ride as well
6) Stage set up for tonight, liquor sales set up
7) Vendor not happy about foot traffic and feeling misled
8) Refund to wood fire oven and Texas BBQ for service to firefighters
9) Security set up for tonight
10) New family wristbands went missing and needed two replacement bands
11) Hog check-in went okay, small issue with iPad, hog sorting going on right now, may need to look for a smoother process, tickets backed up due to iPad
12) A mom had emailed Theresa, someone had stolen phone out of horse stall and tracked it to homeless people, police have been notified
13) Night security has seen cars driving in area and are keeping an eye on it
14) Need forklift to move bleachers
15) Mikayla received compliments from folks that they really like the fair so far this year
16) Need to move porta coolers from beef to hogs as soon as possible and will need help from City

1) Setting up for BBQ tomorrow will begin
2) Pig wristband going okay – a couple issues
3) Concert was good, things to learn from
4) Building and grounds workers were helpful last night
5) Heat reminder – kids, vendors – need to be reminded to drink water
6) Free Otter-pops today and tomorrow
7) Will get water on ice early tomorrow
8) Next year need signs in each building, no roller blades, scooters, or other devices
